How to run WhatsApp cold outreach in Wassuply

Updated Wassuply 1.0.4 for Windows and macOS 9 min read

Quick answer

Wassuply runs WhatsApp cold outreach from Outreach → Cold Campaigns. A five-step wizard (Prospects, Script, Accounts, Timing, Launch) sends a paced first message to each prospect from your warmed numbers, with optional follow-ups that stop when someone replies. Everyone you message appears in Prospects and on the Pipeline board, where you move them through stages such as Replied, Interested and Won yourself.

Key facts

  • The Wassuply Cold Campaigns wizard has five steps: Prospects, Script, Accounts, Timing and Launch.
  • A new Wassuply cold campaign defaults to batches of 10 messages, a random 30 to 90 second gap between messages and a 60 to 300 second break between batches, taken from Settings → Campaign Defaults.
  • The Wassuply Pipeline has six default stages, New, Contacted, Replied, Interested, Won and Lost, and you can add, rename, recolour and reorder your own stages.
  • Wassuply does not move prospects between Pipeline stages automatically: a detected reply is recorded and stops follow-ups, but the card moves only when you move it.
  • Wassuply scans each connected number's chat list for new replies every 3 minutes by default, adjustable from 1 to 60 minutes, and checks the chat again before every follow-up.
  • The Delivery Rate Alert in a new Wassuply cold campaign is on by default and pauses the campaign when failures reach 20% after at least 5 send attempts.
  • Numbers on the Wassuply Outreach Blacklist are skipped by every campaign, sequence and drip, and are checked again right before each message is sent.

What is cold outreach in Wassuply?#

Cold outreach is Wassuply's workflow for messaging prospects who do not know you yet, from your warmed WhatsApp numbers. The sidebar's Outreach group has six screens:

  • Cold Campaigns: create, run and track outreach campaigns.
  • Pipeline: a board of prospects by sales stage.
  • Prospects: everyone you have messaged or added.
  • Scripts: reusable outreach messages.
  • AI Consultant: drafts scripts from a business brief (see AI features).
  • Blacklist: numbers that must never be messaged.

Cold Campaigns filters by Running, Scheduled, Paused and Completed (plus Drafts, Failed and Stopped when present). Each row shows progress and failures, with buttons to start, pause, Resume, stop, export results as CSV, edit a draft, duplicate, view details or delete.

How do I create a cold campaign?#

Click New Campaign on the Cold Campaigns screen and work through the five wizard steps. The campaign starts when you click Launch Campaign, or at the time you scheduled.

  1. Add prospects

Enter a Campaign Name, then add leads from the Prospects, Paste, Upload CSV or Contacts tab.

  2. Write the script

Choose Use Sequence or Write Message, then write the first message, load a script or pick a voice note.

  3. Choose accounts

Select the connected numbers that will send. With two or more, messages rotate between them and each keeps its own daily limit.

  4. Set the timing

Adjust batch size and delays, and optionally a sending window, number validation, a schedule and the Delivery Rate Alert.

  5. Launch

Check Review & Launch and click Launch Campaign, or Schedule Campaign if you set a start time.

Tip: Before launch, Wassuply reports how many numbers will be skipped as opted out, blacklisted or duplicate. If you close the wizard, the draft is kept until you quit the app.

What can I set in each wizard step?#

Each step controls one part of the campaign; only a name, one prospect, some content and one connected account are required.

Prospects

Prospects lets you tick saved prospects. Paste takes one number per line with country code, optionally followed by name,custom1,custom2, and adds your Default country code from Settings to bare local numbers. Upload CSV reads phone, name, custom1 and custom2 columns. Contacts picks from your broadcast contacts. Duplicates are removed.

Script

Use Sequence
Sends a saved sequence: step 1 is the first message, later steps are follow-ups.
Write Message
Pick Write message, AI-personalized or Voice note (see voice notes).
Load Script
Inserts a saved script's text.
Variables
Chips for {name}, {phone}, {custom1}, {custom2} and {A|B} spintax, plus Tracked Link, whose clicks show per prospect on the campaign page.
Add spintax and Improve
AI rewrites using your own AI key.
Attachment (optional)
An image, video, PDF or Word file, with your message as caption.
A/B Split Test
Splits prospects 50/50 into two campaigns marked [A] and [B].
Send Test Message
Sends the message now to a number you type.

Caution: The Cold Campaigns wizard shows AI-personalized but refuses to launch with it. For AI-written first messages, follow AI features.

Accounts and timing

Only connected numbers that are not already sending another campaign or warming up can be picked. Click a group to select its connected numbers, or All Connected.

Defaults come from Settings → Campaign Defaults; see sending safety for safe values.

How do follow-ups work?#

Follow-ups are later messages sent only to prospects who have not replied, and they come from a sequence attached in the Script step.

  • Use Sequence attaches an existing sequence. Its first step becomes the first message and is not sent twice.
  • In Write Message mode, Add Follow-up adds a step sent hours later (default 24, minimum 1). These steps only take effect after you name them and click Save as Sequence.
  • Each prospect is enrolled right after their first message is sent.
  • Before each follow-up, Wassuply opens the chat to look for a reply since the last message. If there is one, follow-ups stop for that prospect by default.

Delays, reply actions and windows are covered in Sequences and Drip.

How does Wassuply detect replies?#

Wassuply reads each connected number's WhatsApp chat list every 3 minutes by default and records any unread incoming message as a reply from that prospect.

  • The scan reads the chat list without opening chats. Set the Reply scan interval (1 to 60 minutes) or switch it off with Auto opt-out on replies (STOP / unsubscribe) in Settings → Sending.
  • Recorded replies count towards the campaign's Replied figure.
  • A reply containing an opt-out keyword such as stop or unsubscribe opts the number out everywhere, stops its sequences and skips its pending sends.
  • Check Receipts on a campaign's detail page opens each sent chat to read WhatsApp's delivered and read ticks and look for replies, up to 200 prospects per check.

Caution: Replies do not move cards on the Pipeline. A prospect who answers stays in their stage until you move them.

Replies are matched against Global Keywords in Settings → Opt-Out. The keywords and auto-reply in a campaign's own Auto Opt-Out Detection panel are saved but not used for matching. See opt-outs and blacklist.

How do I add and manage prospects?#

The Prospects screen lists every outreach prospect once, with their latest campaign, and lets you add prospects without a campaign. Click Add Prospect:

  • Manual: one phone number and an optional name.
  • Paste CSV: one prospect per line as phone, name.
  • Upload CSV: choose a .csv file and map columns to Phone (required), Full Name, First Name, Last Name, Email, Company, Job Title, Website, Notes and Tags. Common column names map automatically; numbers already added are skipped.

Filter by stage, send status or campaign, sort the columns, and select rows to delete, archive or move to a stage in bulk. Export downloads the filtered list as CSV. Click a row to Edit its details or use Start Chat to open the chat in a connected number. New prospects start in New. The Enrichment tab is coming soon; Wassuply does not look up prospect details online.

Tip: Company, job title, website and notes travel with a prospect into a campaign, where AI-personalised messages can use them.

How do I use the Pipeline board?#

The Pipeline Board shows one card per prospect in a column for each stage; drag a card, or open it and click a stage, to move it. The default stages are New, Contacted, Replied, Interested, Won and Lost.

  • Stages (or Add Stage at the end of the board) adds, renames, recolours (10 colours) and reorders stages. Default stages cannot be deleted; a custom stage can be deleted once empty.
  • A card's panel has Stage, Deal value (once won), Tags and Notes. Deal values add up to a revenue total at the top.
  • Remove from Pipeline archives the prospect off the board.
  • Search by name or phone, and filter by campaign. The board shows up to 1,000 prospects.

Moving a card changes that number's stage in every outreach campaign it belongs to, so the stage follows the person.

What is a script?#

A script is a saved outreach message you can load into any cold campaign, kept separately from broadcast templates.

  • Click New Script, enter a Script Name and Message, and optionally attach an image or file. Chips insert {name}, {phone}, {custom1}, {custom2} and a {Hello|Hi|Hey} spintax group.
  • The character counter turns amber from 300 characters and red from 500, a hint to keep openers short.
  • In the wizard, Load Script inserts a script's text but not its attachment, and Save as reusable Script saves what you wrote.

Scripts cannot be picked in the sequence builder. For merge fields and spintax, see templates and spintax.

How is cold outreach different from Broadcast Campaigns?#

Both use the same sending engine, pacing and safety checks. The difference is who you message and what is tracked afterwards.

The Blacklist covers both: a listed number is skipped by every campaign, sequence and drip. Add numbers with an optional reason, paste many with Import, or Export the list as CSV. See Broadcast Campaigns and opt-outs and blacklist.

Frequently asked questions#

Does a reply move the prospect to the Replied stage automatically?

No. Wassuply records the reply, counts it on the campaign and stops that prospect's follow-ups, but stages only change when you move the card.

Can I use AI-personalised messages in a cold campaign?

Not from the Cold Campaigns wizard. Use the New Campaign wizard on the Campaigns screen and pick Cold Outreach; the campaign still feeds Prospects and the Pipeline. AI features has the steps.

What happens if a prospect replies STOP?

At the next reply scan the number is opted out everywhere, its sequences stop and pending sends to it are skipped. A desktop notification tells you, if notifications are on.

Why were my follow-ups not sent?

Steps added with Add Follow-up are only used after Save as Sequence. Follow-ups also stop for anyone who replied, and wait while the sending number is busy with a campaign or warm-up.

Can one number run two campaigns at once?

No. Wassuply refuses to start a campaign on a number that is already sending another campaign, warming up, or running a Group Builder or Group Extractor job.

Can I start a cold campaign with a voice note?

Yes. Pick Voice note in the Script step and choose an ElevenLabs voice; each prospect gets their own voice message. See voice notes.
